Purpose of this Privacy Notice
This notice sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it. We keep certain basic information when you visit our website and recognise the importance of keeping that information secure and letting you know what we will do with it.
This policy only applies to our site. Our site may, from time to time, contain links to and from the websites of our partner networks, advertisers and affiliates. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.
We collect and process your personal information & data in the following ways:
On our websites when you visit or make or manage a reservation; when you use our contact forms for an enquiry; email sign up, event enquiry.
In our Reception/Reservation/Sales departments from your correspondence
If you contact us (by phone, email, text or otherwise), we may keep a record of our correspondence with you for record or to improve the quality of our offering and to prevent and detect fraud
When you enter our competitions
Whilst on the premises in the form of closed circuit television (CCTV)
We are also working closely with third parties (including for example, Online Travel Agents) and may receive information about you from them. This may be data given to us by you when you contact us, data received from other sources such as fabcebook or travel agents or data that is collected automatically such as visit to website for analytics to improve website content, this includes your IP address. We will also collect data automatically via cookies inline with cookie settings on your browser.
We may use your personal information & data in the following ways:-
To administer a booking or enquiry
Send you emails or call you in relation to your stay
To contact you on departure to complete a questionnaire or request review
To send you marketing & promotional emails should you opt in to this service.
To provide you with dietary specific meals when you book a meal / dine with us by collecting information regarding your dietary requirements
Other communications for example responding to requests or general customer service
We use closed circuit television at our property that may capture or record images of guests and visitors in public areas for the protection of our staff, guests and visitors to our properties where permitted by law.
Sensitive personal data
We do not collect sensitive personal data (such as racial or ethnic origin, nationality, political opinions, religious beliefs, etc) unless it is volunteered by you. In order to tailor product offers to your circumstances we may sometimes ask for information such as your age or any disability that you may have. As with all data, it is entirely up to you to decide whether or not you are happy to provide this information. Sensitive personal data will only be used in order for us to fulfil our contract with you to provide the services that you have requested. We may use data provided by you to serve you better and meet your particular needs (for example, the provision of disability access). You do not need to provide us with personal information simply to browse our website.
We use a secure website to obtain your credit/debit card information in order to process any purchases/bookings made on our site. Credit/debit card information may also be requested over the phone when a booking is being made. We will never ask you to send us this information electronically. All such information is stored on a secure system and will only be accessed when necessary to take payments as outlined in our Terms & Conditions. This data will kept for as long as is necessary to fulfil your contract with us (unless a longer retention period is required or permitted by applicable law) before being disposed securely.
Marketing & Promotional e-mails provide a link at the end of the e-mail to unsubscribe from that service.
Please note that it is not possible to ‘opt-out’ of receiving communication from us which relates to your bookings or reservations.
Non-disclosure to third parties
We do not share your data with any other company for marketing purposes
We may share your data with agencies such as law enforcement or governmental organisations where we are required to make such disclosures by any applicable law
We may share your data with banks and payment providers, to authorise and complete payments
We may pass your information to our third-party service providers, agents, sub-contractors and other associated organisations for the purposes of completing tasks and providing services to you on our or your behalf (for example to process payments and send you email). Howeverwe disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure and not to use it for their own direct marketing purposes. Please be reassured that we will not release your information to third parties for them to use for their own direct marketing purposes, unless you have requested us to do so, or we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.
We retain personal information about you for the period necessary to fulfil the purposes outlined in this Policy, unless a longer retention period is required or permitted by applicable law. When your information is no longer required, we will ensure it is disposed of in a secure manner.
We review our retention periods for personal information on a regular basis. We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us.
Even if we delete your Data, it may persist on backup or archival media for legal, tax or regulatory purposes
You have the following rights in relation to your Data:
Right to access – the right to request (i) copies of the information we hold about you at any time, or (ii) that we modify, update or delete such information. If we provide you with access to the information we hold about you, we will not charge you for this, unless your request is “manifestly unfounded or excessive.” Where we are legally permitted to do so, we may refuse your request. If we refuse your request, we will tell you the reasons why.
Right to correct – the right to have your Data rectified if it is inaccurate or incomplete.
Right to erase – the right to request that we delete or remove your Data from our systems.
Right to restrict our use of your Data – the right to “block” us from using your Data or limit the way in which we can use it.
Right to data portability – the right to request that we move, copy or transfer your Data.
Right to object – the right to object to our use of your Data including where we use it for our legitimate interests.

Competition Terms & Conditions
The promoter is Tannochbrae Cuisine Ltd doing business as Speyside Cottages
The competition is open to anyone 18 years or over except employees of Speyside Cottages and their close relatives and anyone otherwise connected with the organisation or judging of the competition.
There is no entry fee and no purchase necessary to enter this competition.
By entering this competition, an entrant is indicating his/her agreement to be bound by these terms and conditions.
The route to entry for the competition is to like the post on our Facebook Page https://www.facebook.com/SpeysideCottages/
We have the right to allow more than one entry per competition at times. We will notify specifically in the post if this is the case
Closing date for entry will be stated in the post of the Facebook page. After this date, then no further entries to the competition will be permitted.
No responsibility can be accepted for entries not received for whatever reason.

The promoter reserves the right to cancel or amend the competition and these terms and conditions without notice in the event of a catastrophe, war, civil or military disturbance, act of God or any actual or anticipated breach of any applicable law or regulation or any other event outside of the promoter’s control. Any changes to the competition will be notified to entrants as soon as possible by the promoter.
The promoter is not responsible for inaccurate prize details supplied to any entrant by any third party connected with this competition.
The prize will be clearly stated in the Facebook Post
The prize is as stated and no cash or other alternatives will be offered. The prizes are not transferable. Prizes are subject to availability and we reserve the right to substitute any prize with another of equivalent value without giving notice.
Winners will be chosen at random via the software platform that we will share if anyone wants to know more
The winner will be notified by private message on Facebook and within 28 days of the closing date. If the winner cannot be contacted or do not claim the prize within 14 days of notification, we reserve the right to withdraw the prize from the winner and pick a replacement winner.
The promoter will notify the winner when and where the prize can be collected
The promoter’s decision in respect of all matters to do with the competition will be final and no correspondence will be entered into.
By entering this competition, an entrant is indicating his/her agreement to be bound by these terms and conditions.
The competition and these terms and conditions will be governed by law and any disputes will be subject to the exclusive jurisdiction of the courts.

Speyside Cottages Terms & Conditions
‘Sites’ and ‘Homes’ defined as the following properties The Milking Sheds, 1-Wee-Kalf, 2 Wee-Kalf, Ben Shea Smart Home, City Apartment, Aberdeen
CHECK IN & CHECK OUT TIMES
Arrival is from 3pm on check-in date.
Check-out on day of departure is 10am.
Well behaved dogs welcome in the The Milking Sheds, our 1 Wee-Kalf and 2 Wee-Kalf cottages and in our City Apartment, Aberdeen.
Ben Shea Smart Home does not accept dogs at this time
This is with the understand that guests will not allow their dogs onto furniture and beds, please do help us to maintain the high standards we try to provide to all of our guests. Please act responsibly for your dog(s) and clean up where necessary both on walks and in the garden. We do reserve the right to charge for extra deep cleaning and repair or replacement costs if your dog damages any item. There is a small additional cost for bringing a dog.
Please consider neighbours especially after 9.30pm.
REFUSE,WASTE & RECYCLING
Refuse – There are two bins in kitchen, one for general waste and one for clean recycling (plastic, glass, paper, tins). Should the kitchen bin require emptying during your stay please do so in the green wheelie bin in the garden (Ben Shea & Aberdeen Apartment) or car park area (The Milking Sheds), this is for general waste. Recycling is split into 3 containers, these are marked on bin lids. Any rubbish you don’t fit in can be left at side of wheelie bin prior to them being emptied and the additional rubbish will be removed.
Wipes, sanitary waste, clothes etc must not be flushed down the toilets, please use the waste bins provided.
The owners of the sites and homes are absolved of all liability for accidents to guests and from any responsibility for loss or damage to personal property. Any items left behind must be claimed within two weeks of departure. If relevant, postage and packing charges for the return of goods will apply. As owners, we shall not be responsible for the death or personal injury to a holidaymaker. The owners of the site/farm reserve the right to ask guests not observing the conditions to leave the site without refunds and with immediate effect. We ask that any breakages or faulty equipment be reported so that we may replace them. In the case of breakages, a replacement charge may be made. As the owner of the property, we reserve the right to gain access at any reasonable time during occupancy for the purpose of emergency maintenance or repair or any other need.
CARE & CONSIDERATION
We ask that guests practice common sense, care and consideration for the sites during their stay. This involves ensuring cleanliness is observed, with surfaces and woodwork being kept clean of stains and debris. We ask that chopping boards and provided drinks coasters are used in order to limit damage to work tops and surfaces, under no circumstances should food be chopped on the work surfaces.
CANCELLATIONS & REFUNDS
We do not give refunds on any bookings made 14 days before arrival date. In the event of a cancellation by us, our liability shall be limited to the return in full the monies paid. Please note any damage to site facilities left in an unsatisfactory state will incur extra charges.
PAYMENTS & DEPOSIT
50% of payment is due at the time of booking (non refundable), and the final 50% is due 4 weeks before arrival.
The Milking Sheds – This is provided by electric heaters on each wall, these are not on timers and need to be switched on & off manually at the wall. The heaters each have independent temperature control. Please do not cover these heaters in any way, or put wet clothes on them, there is real and high risk of fire by doing this. There is a clothes stand in the cupboard that can be used in front of heaters to dry any items if required, or there is a drying green outside.
Ben Shea Smart Home Heating is by combi bolier, this is set through our Loxone smart home system. The valves on each radiator are automated, please do not change the valves manually. Adjust temperature set point via the permanently mounted iPad either making a permanent change to temperature or operating times, or just doing a once off manual override
Go to Category – select Heating & Cooling – and adjust room temperature here + / – or click onto the room and make changes here
Please do not cover radiators with wet clothes, there is a clothes stand in the first floor cupboard that can be used to dry any items if required.
HEAT & FIRE DETECTORS
These are installed in each property for your safety. In the case of an emergency please call 999 & vacate the property. These alarms are not hard wired to contact a fire station. When safe to do so please also contact us on: 07794 681807 to alert us of the situation and get our help. If they are set off in error please open windows etc as required to ventilate area and alarms will stop.
HONESTY SINGLE MALT WHISKY BAR
There is the option of our honesty bar being available in your home for you, this is a selection of some great single malts all available at £4/dram, just let us know if you want this available.
Smoking is not permitted internally. If smoking please do so outside and dispose of your rubbish in a safe manner
